terms of hire

DEFINITIONS

  • All references to ‘Committee’ in this document relate to the Committee of Management of the Mirboo North Shire Hall Incorporated.

  • ‘The Space’ shall refer to the ground floor of the Shire Hall, as outlined in the floor plan available on our website

(1) USE OF SHIRE HALL

  • The Hirer shall utilise the Shire Hall space solely for the purpose specified in the booking application. False declarations regarding the event may result in cancellation and forfeiture of any bond paid.

  • The Committee reserves the right to cancel any booking for use of the Shire Hall at its discretion.

  • The Hirer may only access the Shire Hall during the hours stipulated in the booking, which should include time for setup and pack down. Additional hours must be arranged online or confirmed in writing by the Committee.

  • The area available for hire is the ground floor of the Shire Hall as indicated in the floor plan (click here).

  • The Hirer must use the space responsibly, always ensuring the supervision of any children.

  • The Hirer must enforce a no-smoking policy within the Hall.

  • Should alcohol be involved in the event, it is the Hirer’s sole responsibility to obtain any necessary licenses or permits.

  • The Hirer is prohibited from bringing any dangerous items into the Shire Hall. Any gas or electrical equipment the Hirer intends to bring must be pre-approved by the Committee and must be tested and tagged.

  • No doorways or access points are to be obstructed.

  • Decorations may not be attached using nails or any method likely to cause damage to walls or surfaces.

(2) HIRER RESPONSIBILITIES

  • Using the space in accordance with the booking.

  • Following access instructions provided by the Booking Officer.

  • Leaving the space in a clean and tidy condition, ensuring tables, chairs, and other items are returned to their original positions, floors are swept or vacuumed, and any spills are cleaned up promptly.

  • The kitchen and restrooms must be left clean and in the same state as found at the start of the hire period. If using the kitchen, ensure benches, stovetops, ovens, and refrigerators are wiped down, and all cutlery or crockery used is washed and returned to storage.

  • Removal of all decorations, such as balloons and streamers, at the end of the booking.

  • Waste that does not fit into the provided bins at the rear of the Hall must be taken with you.

  • Ensuring that all appliances are turned off at the end of the booking.

(3) CATERING PREPARATION

  • All catering and food storage must be conducted on the day of the event unless alternative arrangements are made in writing with the Committee (which may incur additional fees)

(4) CAPACITY

  • Bookings are limited to a maximum of 400 people.

(5) INSURANCE AND PUBLIC LIABILITY

  • The space is used at the Hirer’s own risk.

  • The Hirer is liable for any damage to persons or property resulting from their use of the space or their guests’ activities.

  • Business or community groups must provide evidence of their own public liability insurance upon request.

  • The Committee takes no responsibility for loss or damage to personal belongings of the Hirer, guests, or others while using the facility, nor for any motor vehicles on the premises.

  • The Hirer indemnifies the Committee of Management, the South Gippsland Shire, and the Department of Energy, Environment and Climate Action (DEECA) against any claims arising from the use of the space by the Hirer or their guests.

(6) BOND REQUIREMENTS

  • A bond is payable upon booking events with alcohol – refer to Detailed Pricing Information.

  • The bond may be withheld if there is a breach of these terms, which is not rectified, to cover the costs of damage or losses caused to the Shire Hall.

  • The bond will be refunded promptly, provided all terms have been met. The refund will be reduced by any amount required to cover cleaning or repairs, or in the event of non-compliance with the conditions, reduced by any amount deemed reasonable by the Committee.

  • The Hirer acknowledges that bond retention due to damage, theft, or failure to comply with the conditions does not limit the Committee’s right to seek further compensation if the costs exceed the bond amount.
